1. Spend Just 2 Minutes at the Start of the Week

Checking your schedule and entering events are two different tasks. Enter things on the spot when you think of them; review once a week in one go. This separation matters more than you'd think. Those 2 minutes will bring your whole week into focus.
2. Color-Code by Calendar Type
Create separate calendars for work, family, and personal — and assign each a color. Coloring individual events is exhausting, but set a color per calendar and everything falls into place automatically.
Open the month view: lots of blue means a heavy work month; green on weekends means family plans. You can read the whole picture at a glance.
3. Use Recurring Events for Weekly and Monthly Regulars
Trash day, weekly meetings, end-of-month bill checks, driving the kids to activities — many people enter the same events repeatedly. Use recurring events and set it once.
Once your schedule has a "skeleton," you only need to add exceptions, which drastically reduces manual entry.
4. Add a Location or Note to Every Event
An event that just says "meeting" will have you scrambling on the day: "Where is it? What do I need to bring?" One quick note — location, items to bring, the other person's name — makes everything run smoothly on the day.

5. Put Your To-Dos in the Calendar Too
Some people use a separate task app, but tasks without a set time tend to get postponed. Enter them in your calendar as time-blocked events — "Reply to email (Tuesday morning)" — and you'll never forget to check your to-do list.
