When you open your calendar and all your events are the same color, it's hard to tell in an instant whether you're busy or free this week. But with color-coding, the whole picture is clear at a glance. That difference is bigger than you might think.
Color by Calendar, Not by Event
The key to color-coding is doing it at the calendar (group) level. Deciding "what color should this be?" every time you enter an event doesn't last, and too many colors just makes things confusing.
Set work calendar to blue, family calendar to green, personal calendar to orange — once you've decided, just choose which calendar to put an event in and the color takes care of itself.
Aim for 3–4 Colors Maximum
Fewer colors is better. With five or more, you'll find yourself thinking "what was that color again?" Work, family, and personal are usually enough to cover most needs.
- Work / School: Cool colors like blue or purple
- Family / Shared: Understated colors like green or teal
- Personal / Private: Warm colors like orange or yellow
Go with what feels right to you. The important thing is to establish your own "this color = this category" mapping and stick to it.
Read Your Month's Density at a Glance
The most powerful effect of color-coding shows up in the month view. Lots of blue in a week means it's packed with work; green on weekends means family plans; barely any color means you have breathing room — visual awareness makes it easier to decide whether there's space for new commitments.
"Can I fit a dinner this week?" becomes a question you can answer just by looking at your calendar.
Keeping It Simple Is the Key to Longevity
Over-engineering it increases the management burden and makes it a chore. Calendar color-coding is a tool for convenience, so it shouldn't require effort in itself.
Start by creating just one "Work" calendar and giving it a color. Even that single step will make a noticeable difference in readability.
